Find the decision
Ask what the reader is supposed to do or decide after reading. If you cannot name it in one sentence, the draft is not ready to polish. Write that sentence and put it near the top.
Business Writing
A business rewrite is good when the reader understands the point, the tradeoff, and the next action faster than before.

Workflows
Different work documents fail in different ways.
| Document | Common issue | Rewrite goal |
|---|---|---|
| Memo | Buried point | Lead with recommendation and reasoning. |
| Proposal | Too much feature language | Translate features into outcomes and proof. |
| Support reply | Sounds templated | Acknowledge the exact issue and give clear steps. |
| Landing page | Generic benefits | Sharpen audience, pain, proof, and call to action. |
| Report | Loose structure | Group insights, evidence, risks, and decisions. |
Workflow
Business writing has one job: help a busy reader decide or act with less effort. When you rewrite an AI draft for work, resist the urge to polish sentences first. Fix the shape of the argument, then the tone, then the wording. This order keeps you from spending twenty minutes perfecting a paragraph you are about to delete.

Move the recommendation, answer, or ask to the first line. Business readers skim. Put the conclusion first and let the reasoning follow, not the other way around.
Replace "leverage synergies to drive value" with what actually happens. Every abstract phrase should point at a concrete outcome, number, or example the reader can picture.
Before any AI rewrite, mark the numbers, names, dates, prices, and commitments that must not change. Tell the tool to preserve them, then check them again afterward. See our how rewriters work guide on why this matters.
Read it once as the person receiving it. Is the ask obvious? Is the tone right for the relationship? Would you know what to do next? If not, revise once more.
Before and After
These examples show the same message before and after a rewrite. Notice that nothing factual changes. The point moves up, the filler comes out, and the reader can act faster. Use them as patterns, not scripts.

Tone
Business tone is not stiff and it is not chatty. It respects the reader's time and treats them as an adult. The goal is confident and plain: say what you mean, own the recommendation, and skip the throat-clearing. Match the warmth to the relationship and the directness to the task.
Mistakes and Checklist
Most weak business rewrites fail the same few ways. Watch for them, and run the short checklist before you send. For more copy-paste help, our rewriter prompts page includes a professional email and business prompt you can adapt.
Fixing word choice in a paragraph that should be deleted or moved wastes time. Fix the shape first, then the sentences.
A smoother draft that no longer makes the request obvious is worse than a clunky one that does. Protect the ask above all.
AI rewrites can quietly change a number or date to make a sentence flow. Always compare the new version against the locked facts.
Too much hedging hides the recommendation. If you believe it, say it plainly and give the reason.
Honest Limits
A rewrite makes a clear point clearer. It does not decide the point for you, and it cannot make a weak recommendation strong. If the underlying argument is thin, no amount of polishing will fix it, and an AI pass may even paper over the gap with confident-sounding filler. Do the thinking first, then rewrite. And whatever tool you use, the responsibility to keep facts accurate stays with you.
